POSITION PURPOSE:
To provide administrative support services for the Director of Benefits Administration, along with supporting the Director of Enrollment & Billing Services (EBS).  Provide back-up administrative support to the managers in the departments and others in the departments as needed.
MINIMUM POSITION REQUIREMENTS:
Required Experience:
  • Three years administrative support

PREFERRED QUALIFICATIONS:
Healthcare or health insurance industry experience
PRIMARY ACCOUNTABILITIES: 
  1. Perform administrative duties for the Director of Benefits Administration and general administrative support for the Director of EBS, to include scheduling of Director calendars, coordinating department and other meetings as required, prepare meeting materials, take minutes, and assist in the design of presentations.
  2. General administrative support for the Benefits Administration and EBS management teams.
  3. Answer telephones and screen incoming calls, directing inquiries to management staff and other company personnel as appropriate.
  4. Open Director’s mail, and establish and maintain the Director’s files.
  5. Track, monitor, and follow-up on performance appraisals for the department assuring timely completion and submission. Maintain department personnel records, working closely with the Human Resources department to verify open positions.
  6. Maintain supplies and handle purchases for the Director, management and other staff.  Execute payments for outside labor expenses, claim reimbursements, group reimbursements or refunds, and other payments made from Director and department cost centers, working closely with the Accounting department. Contact vendors as needed to follow-up on payment inquiries.
  7. Maintain budget records and work with the Director to reconcile budgets and projections; compile budget variance reports. Organize and lead the annual budget preparation and submission. Work with the Human Resources and Accounting departments to compile a listing of staff eligible for department incentive.
  8. Help plan and coordinate department activities including anniversaries, retirement recognition, and special recognition luncheons.  Maintain the recognition bulletin board for the department. Create and maintain tracking report for management discretionary funds. 
  9. Create and maintain tracking reports for Unit Efficiency Scorecards, Performance Management, and Performance Guarantees.
  10. Maintain and distribute department personnel lists including emergency calls lists. 
  11. Create and maintain merit and parity reports to keep management informed of progress toward merit distribution goals.

SECONDARY ACCOUNTABILITIES:
  1. Responsible for the overview of TMS for the assigned department or personnel.  Inform appropriate managers of any needed action specific to their employees.
  2. Perform administrative assistance for other staff in Benefits Administration.
  3. Perform other duties as requested by the Directors of Benefits Administration & EBS.
