Apex Systems is interested in an Order Entry Specialist in Ferndale, WA!
Hours: M-F 8am-5pm
Duration: 3-6 months Contract to Hire
The Order Entry Specialist is responsible for processing customer orders in an accurate and timely manner. Communicate order status to various stakeholders, including peers and customers. Order Entry Specialist (OES) are also involved in the peripheral activities associated with these core activities and operating a customer focused business. This role provides a key role to our business. They perform a variety of customer facing activities.
  • Logistical processing of customer orders, including coordination with sales, production, warehouses and transportation.
  • Working closely with other departments, such as sales and production, to resolve internal complications that impact our customers.
  • Providing proactive communication with customers via telephone, email, and a SMS Texting Solution.
  • Improving cost saving trends including but not limited to: Truck fill rate, lead time adherance, LTL costs, minimum order quantities, and customer complaint credits.
  • Solves day-to-day problems by executing a moderate scale of customer service activities with direct oversight. For example: Sales and order processing, scheduling, amendments and cancellations. VMI (vendor managed inventory) system updates. PO settlements for 3rd party activities, purchased products, supplies and packaging
  • May monitor and track demand consumption verses contract, forecast and/or standard order lead-time.
  • Informs customers about order status.
  • Coordinates with supply chain planning, plant operations, finance, logistics and sales departments to fulfill less complex orders, resolve any scheduling challenges, and sustain key supply chain model inputs. Escalates complex conditions to more senior members of the team or manager.

Principal Accountabilities
  • 60% Process a high volume of incoming orders via electronic transmission. Use AS400/SAP and Microsoft outlook, and Electronic Data Interchange to receive and enter customer orders.
  • 15% Continuous communication with Plant Operations to assess production status as it related to customer orders. Adjust orders as needed based on plant performance. Work with Sales Consultants to address customer concerns, order projects, and new customer setup.
  • 10% Work with Customers and other functions on continuous improvement projects.
  • 10% Manage minimum order quantities, lead time adherence, monitor dedicated carrier fill rates, and control less than load costs.
  • 5% Continuously update customers as needed on order status, shorts, and complaint resolution or progress.

Minimum Required Qualifications
  • 2+ Years of Customer Service Experience.
  • Ability to Accurately Manage a Large Volume of Inbound Electronic Orders.
  • Proficiency in Microsoft Office Suite.
  • Excellent Communication Skills.
  • Excellent Organization Skills.
  • Strong Attention to Detail.
  • Ability to Work Well with Teams.

Preferred Qualifications
  • AS400/SAP Experience
  • Experience with Tableau
  • Data Entry Experience
