JOB DESCRIPTION:

  • Provide excellent customer service. Answer, screen and assist callers on the phone, assist walk-in employees, respond to emails and/or voicemail in a timely manner (24 hours).
  • Process bi-weekly and monthly payrolls from beginning to end, including running the General Ledger process.
  • Process garnishments as assigned. Determines withholding amount, sets up deductions in the payroll system, and processes checks for mailing to withholding agencies or individuals as required by law.
  • Analyze, correct, input, and process payroll data using PeopleSoft.
  • Identify and correct payroll errors before final paycheck processing.
  • Process on demand checks and act as backup for reviewing and confirming on demand checks.
  • Review and approve payroll adjustment requests prior to each payroll run for accuracy. Communicate with requestor to make corrections, if needed.
  • Process and review vacation and sick leave balance adjustments.
  • Manage and process the appropriate payments and leave accruals for FLSA changes.
  • Process payment for unused vacation to terminated employees.
  • Process and maintain general deductions. Remit payments to vendors in accordance with established payroll procedures.
  • Identify and process retro payments and overpayments.
  • Process and review benefit adjustments.
  • Process payroll forms and documents to include tax forms, direct deposits, time and attendance and employment verifications.
  • Process ACH reversals and stop payments when needed.
  • Perform account and bank reconciliations.
  • Control all aspects of the stale dated check process.
  • Provide training for managers, timekeepers, and employees on the correct process and procedures for utilizing the time and attendance systems.
  • Assist employees, managers, and timekeepers with questions regarding the time and attendance systems.
  • Perform various journal entries, account reconciliations, and General Ledger support as needed.
  • Prepare monthly statistical reports using PeopleSoft queries and Microsoft Excel.
  • Perform ad hoc requests, perform other duties, including administrative, as assigned, and assist with special projects and other initiatives.
  • Tax Payment & Filing– Responsible for managing federal and multi-state compliance for all company entities to ensure 100% accuracy and timeliness.
    • Responsible for researching and resolving all tax notices with proper communication to agencies, and internal staff.
    • Perform regular tax research to stay ahead of state and federal tax changes and properly train internal staff to serve our employees.

PREFERRED QUALIFICATIONS:

  • Three (3+) years in multi-state payroll processing, tax compliance and regulation.
  • Payroll processing for large employers (greater than 2,000 employees), payroll regulatory and compliance background, required.
  • Three (3+) years of garnishment management.
  • High personal standards of integrity, confidentiality and professionalism.
  • Solid written and verbal communication skills, including strong presentation/facilitation skills and influencing skills.
  • Strong interpersonal and relationship building skills with an ability interact with all levels of the organization.
  • Solid analytical skills with an ability to identify issues, collect data, and make recommendations for process improvement.
  • Ability to use good judgment in the completion of a variety of work situations.
  • Flexible and able to work effectively in a high volume, fast-paced environment.
  • Self-starter with excellent organizational skills and the ability to manage competing priorities and meet deadlines.
  • Must be computer literate with an intermediate level of Microsoft Word, Excel, PowerPoint, and Outlook.
  • Working knowledge of FLSA & IRS guidelines as it relates to payroll issues
  • Training and/or experience in general office procedures, policies and methods; broad knowledge of Human Resources laws, practices and policies.
  • A comfort level with change, the ability to adapt to change and the ability to recover quickly from adversity.
  • Orientation towards working with numbers and data.
  • Working knowledge of the Kronos and PeopleSoft.

MINIMUM QUALIFICIATONS: An associate’s degree and five years of payroll experience. Proficiency with Microsoft Office applications. Experience with processing in-house payroll using PeopleSoft and Kronos REQUIRED. Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) is nice to have.
