Description:
This role must have very strong project management and communication skills (written and verbal). Must be a self-starter and have a desire to achieve and drive results. They must be flexible and be able to adapt to situations as they may shift during project execution. They must have strong organizational skills and have familiarity with the use of tools such as PowerPoint, Excel and SharePoint. They must have a good attention to detail and at times demonstrate a level of an analytical mind to understand what is being asked and triangulate with other projects that may be underway to seek overlaps.

 

 Job Responsibilities include:

 - Draft communications and invites, align with lead to review and send out communications to appropriate distribution list

 - Draft invites and communications for Power Hours

 - Manage scheduling and coordination with CRA on dates/times for all sessions

 - Coordinate logistics end to end (i.e. conference rooms, set up WebEx, technology for recording, etc.) and schedule dry runs as needed

 - Ensure all payments are made for services leveraged

 - Provide instructions on video recordings and set timeline for Business Support / Technical expertise videos

 - Draft email with instructions to be sent to team members for recordings

 - Consolidate videos and work with KM/Technology team to upload onto Lighthouse

 - Solicit and consolidate all nominations for Development Programs

 - Pull together all prep decks and schedule prep sessions / kick-offs

 - Create and maintain project plans, track and project manage end to end logistics where applicable

 - Schedule preps sessions for panels and send outline of Q&A to panel participants

 - Draft communications to GC Staff, VPs and participants as outlined in project plans

 - Secure studio recording dates/times with Marketing team

 - Coordinate with team members and manage scheduling on calendars

 - Coordinate with video editing vendor and process payment

 - Create and maintain project plan to track deliverables leading up to all manager calls

 - Ensure all logistics are aligned to needs of the meeting (i.e. conference room, technology, calendar invites, comms), process payment to vendors as needed

 - Work with KM/Technology team to upload content to Lighthouse

 - Pull new hires from roster and own all logistics / scheduling for new hire session

 - Send calendar invite and comms to new hires and presenters for onboarding trainings

 - Triage support requests coming into Client Training mailbox and escalate as appropriate

 - Support Client Training site in terms of maintenance based on requests and updates needed working with the KM/Technology team.
