Description:
We are looking for a senior administrative assistant to join our team! This resource will focus on front office duties including but not limited to; managing, organizing and printing calendars, copying tasks, printing labels, and other various office responsibilities.
The administrative assistant will be supporting a team of 16+ resources.
Primary Responsibilities:
  • Coordinate all aspects of meetings from scheduling, organizing and documentation
  • Provide coverage for team members as appropriate for your level of responsibility
  • Order supplies and other required items
  • Schedule travel as needed for team members
  • Lead the planning of purchasing and installation of equipment and supplies for the department
  • Assist in the writing, updating, managing and document control for the team
  • Budget tracking and reconciling of expenses
  • Supports the budgeting process
  • Managing calendars, correspondence, meeting and agenda preparation and other logistical matters
  • Schedules meetings (group and individual), travel and outside commitments

Requirements:
  • At least five years of executive administrative experience
  • Ability to follow a defined process to execute core tasks
  • Ability to work independently and as part of a team
  • Ability to communicate verbally in person, on the phone and in writing in a clear, concise and professional manner
  • Great organizational skills with exceptional follow through and attention to detail
  • Independently react with appropriate urgency to situations that require a quick turnaround
  • Has experience with Microsoft Office Suite; is expert level with Outlook and Excel
  • Should have access to some form of reliable transportation and be timely and reliable
  • Has excellent calendaring experience
  • Has experience with the following:
    • Printing/ document preparation
    • Mail sorting
    • Fedex/ Gift Wrapping
    • Supplies management/ inventory ordering
    • Catering/ reservation making
    • Meeting preparation
    • Ability to lift an appropriate amount of weight
